Flipping for File Storage!

Barb’s initiative focused on saving time and resources in finding past work orders. By installing a high speed scanner and some quick and easy software (MIS), scanning and saving each work order by number into a stand-alone e-file system (with the eventual migration to DMS system) will allow for stronger organization, faster retrieval of completed work orders, and a more efficient and effective method to working with our customers. NOW THAT’S LEAN!

Offered too, was that Michelle could easily scan each work order daily (it will take an estimated 60-120 seconds to scan each), or roughly an average of 5-10 minutes daily. What will that save? An estimated 10-15 minutes per occurrence of sales people searching for more recent orders and an estimated 20-30 minutes for orders that are stored up in the loft! It will take quite a few months to get the past several years done, but think about how much sales time this will generate when completed and ultimately how quickly we can get back to our customers!

Once sales and work orders are up to date, this concept can also be used in accounting and HR for old files. WOW!
